Procrastination feels like a real barrier, especially in work where it can affect your career.

 

Increasing workplace productivity is easy, by following a few steps – tweaking your workplace behavior, the long term outcome can be a promotion, career progression and job satisfaction

 

 

 

There are 3 steps we all need to take when we want to create personal motivation, once followed you will increase your work place productivity quickly

Step 1 To Increase Productivity

 

 

 

Time Slots – it is easy, in the age of technology, to switch from one task to another.

 

In a team meeting you answer a badly timed email. At your desk an idea takes you away from you task while you search resources fro your idea on Google. A report writing task is interrupted by a social media query.

 

To increase productivity set particular time slots for various task. 9:30-10:00 reply to emails, 10:00-12:00 complete task one. After a 30 minute lunch break, spend 30 minutes answering your morning emails, follow this by task 2.

 

Setting time slots saves collectively a large portion of time over a week. Even better having focus on only one task, increase production.

Step 2 To Increase Productivity

 

Focus on the pain of not completing a task

 

Pain is a big motivator. When you procrastinate you focus on the pain of the task. To create productivity focus on the pain of not completing your task.

 

Have you ever procrastinated and then at the last minute you took action? This is because your pain focus change from the pain of the task to the pain of not completing the task. The strategy does create action, but last minute action doesn’t give you room for error.  Your work isn’t the best it can be, there is no time to check for mistakes and you will, due to time, take short cuts.

 

As you feel procrastination coming on, stop, and change your pain focus.

Step 3 To Increase Productivity

 

 

Give yourself time off

 

When you want to get a task completed, you might think you should work ever hour you possible can. In fact this technique has the reverse effect. Being stressed, tiered and overwork actually slows down productivity.

 

Give yourself time off. Either a day per week or particular hours per day. This rest-bite increase productivity as you feel energized, alert and ready to go. This positive state will increase productivity and workplace happiness

For some their productivity is so low that all they can achieve is procrastination; they put off task, over think problems  and decide to do everything….tomorrow.

 

Without achieving productivity we feel lazy, a failure and unmotivated. These 3 tips will instantly boost your productivity.

Have you ever set a time free goal? Did you achieve your goal? Most will answer no, or if they did achieve this goal it took them a lot longer then expected.

 

We are motivated by time and deadlines. When setting goals give yourself a time limit for each milestone and action – make these realistic.

 

If you give yourself all day to do a task that only takes 10 minutes or a month for goal that can be achieved in a day, you will find that you will leave to the last minutes/day before even starting the task. The problem here is that you rush and work under pressure which can lead to mistakes and stress.

 

Instead….

 

  1. Decide task and give yourself a realistic time frame
  2. Split task into reasonable steps and put these in order of importance
  3. Take action – complete the first step RIGHT NOW as this is highly motivational  
  4. After a few steps reflect on how far you have come (highly motivational)
  5. As you come to end of the steps, plan your next goal

To be productive, highly productive you need to be mentally and physically prepared.  Your body is skilled at letting you know when you need to rest, eat, sleep, re-energise and drink, but many people ignore these warning signs which ends in disaster.

 

When you are working in stressful situations or when you haven’t slept, drank or eaten enough to keep your body at its physical peak you start to make mistakes; you cant think, solve problems, remember key bits of information. People work slower and make more mistakes – all this makes you stressed which in turn increases the mistakes made, creating a visus circle of mistakes – stress.

To increase productivity;

 

  1. Learn your body’s warning signals
  2. Eat, sleep and drink enough to keep your body at its optimum
  3. Stop when your body is telling your to stop and once refreshed return to the task in hand

Many people wrongly believe that jumping into a task is great productivity.  Jumping into a task with preparing can work, but only in certain circumstances. Get productivity comes from great preparation.

 

Once you have a goal or task to achieve you first need to prepare. This can include;

  • Story boarding
  • Brain storming
  • Reflecting on previous successes and failures
  •  Checking resources
  • Creating detailed development and action plans
  • Delegating task 
  • Predicting potholes 

 

Preparing is key to success, as well as preparing for the task you also need to prepare yourself. Think about your temperament, how you work best, your stress indicators and motivational traits. Once you know how you will best tackle this project add this element of success to your plan. Think about;

 

  • The type of environment you work best in
  • How you get energised

  • What activities and approaches motivate you
  • The time you need to complete individual task
  • How to best manage your time
  • How you overcome stresses
